Stop Manually Matching Rides. Let the System Do It.
Manual dispatch means a human decides every single time which driver gets which ride. That means delays, favouritism, and missed bookings when your team is overwhelmed. Automated dispatching replaces that entire process with a rules engine that runs in under a second. —
Every time a booking comes in, the system checks your configuration dispatch radius, vehicle tag match, driver score threshold, and priority rules and assigns the right driver automatically. No dispatcher needed for routine jobs.
Trip request received
A ride comes in via passenger app, web booking, phone dispatch, kiosk, or admin panel — from any channel active in your zone settings.
Eligibility filter runs
The system filters active, on-duty drivers within your dispatch radius whose vehicle type and service tags match the booking requirements.
Assignment logic applied
From eligible drivers, the system applies your chosen logic — nearest driver, best score, or round-robin — and selects the top match instantly.
Driver notified, fallback ready
The selected driver receives the trip via the driver app. If they don't respond within your timeout window, fallback logic kicks in — expanding radius or escalating to a dispatcher.
Four Systems That Make Auto Dispatch Work
Every component is configurable. You set the rules — the engine executes them, every time, without error or delay.
Intelligent Job Allocation
Assigns every trip to the best available driver based on distance, availability, vehicle type, and performance score. No dispatcher action required. Reduces idle time and increases fleet productivity across all zones. —
Real-Time Fleet Tracking
Live GPS visibility of every active driver on a single map view. Dispatchers see driver locations, current trip status, and zone coverage in real time — enabling faster manual overrides when needed.
Fully Configurable Rules Engine
Set dispatch radius, response timeout, assignment method, driver score thresholds, vehicle tag requirements, and fallback behaviour — per zone. Your business rules, automated perfectly.
Smart Fallback & Escalation
When a driver doesn't respond within the timeout window, the system automatically expands the radius, tries the next eligible driver, or alerts a dispatcher — so no booking is ever silently dropped.
Every Setting You Need to Control How Dispatch Works
Six configurable parameters that determine exactly how your auto dispatch engine behaves per zone, per vehicle type, per booking type.
01
ASSIGNMENT METHODChoose How the System Picks the Driver
Three assignment strategies available. Set the one that fits your operation or switch between them per zone without affecting global settings.
02
DISPATCH RADIUSSet How Far the System Searches for Drivers
Define the maximum search radius from the pickup point. If no eligible driver is found within this radius, the fallback logic activates. Configurable from 1-50 km per zone.
03
RESPONSE TIMEOUTControl How Long the System Waits for Acceptance
If a driver doesn't accept within the timeout window, the system moves to the next driver automatically. Set the window from 10 to 120 seconds based on your market's response norms.
04
VEHICLE TAG MATCHINGMatch Every Booking to the Right Vehicle Type
Define vehicle tags sedan, SUV, MPV, business class, EV and the system only dispatches drivers whose vehicle matches the booking requirements. No mismatched assignments.
05
DRIVER SCORE THRESHOLDOnly Send Quality Drivers to Quality Bookings
Set a minimum driver rating or performance score required to be eligible for dispatch. Protect your service quality on high-value bookings corporate, airport, or VIP zones without manually reviewing drivers.
06
FALLBACK & ESCALATIONDefine What Happens When No Driver Accepts
Never leave a booking unresolved. Configure a cascade of fallback actions expand radius, try next driver, switch assignment method, then alert a dispatcher if all automated options are exhausted.
The Right Driver Not Just the First Available One
Traditional dispatch picks whoever answers the radio first. Yelowsoft's allocation engine is smarter: it scores every eligible driver against your configured rules — proximity, rating, acceptance rate, vehicle type and assigns the one most likely to complete the trip successfully.
The result is fewer cancellations, better passenger ratings, and a fleet that actually performs instead of just technically responding. —
- Proximity-first logic with score-weighting for premium zones
- Estimated fare calculated and displayed upfront — no guessing
- Pickup and drop-off addresses shown with map context
- Builds driver trust and reduces mid-trip cancellations significantly

Search Wide Enough — But Not So Wide It Wastes Time
A dispatch radius that's too tight means no drivers found. Too wide, and you're sending someone 15 km away when there's a driver 2 km outside the initial search area. Yelowsoft lets you set both an initial radius and an expanded fallback radius — so the system always tries the smart search first, then widens only when needed.
Pair that with a configurable response timeout — the window a driver has to accept before the system moves on — and you eliminate the two biggest sources of dispatch delay.
- Initial radius: the tight, fast search for nearby drivers
- Expanded radius: auto-triggered if no driver accepts within timeout
- Timeout window: 10120 seconds, configurable per zone
- Pairs directly with Auto Dispatch for zero-manual allocation

Total dispatch time: 48 sec ✓Passengers Get the Vehicle They Booked — Every Time
A passenger books an MPV for 6 people and gets a sedan. That's a cancellation, a bad review, and a lost customer. Yelowsoft's vehicle tag matching ensures the dispatch engine only considers drivers whose vehicle matches the booking's requirements before even running the assignment logic. —
You define the zones. The system does the filtering. Dispatchers stay free to handle exceptions, not routine assignments.
- Define tags per vehicle: sedan, SUV, MPV, business class, EV, wheelchair-accessible
- Booking type maps directly to required vehicle tag at point of dispatch
- Fallback-to-any-vehicle option configurable if no tagged driver is available

No Trip Is Ever Silently Dropped
Every dispatch system has edge cases a zone with no available drivers, a driver who ignores the alert, a timeout that expires. The difference between good and great software is what happens next. Yelowsoft runs a four-step fallback cascade so every booking has a resolution path.
- Step 1 Expand search radius to catch drivers just outside the initial boundary
- Step 2 Retry with the next 3 highest-ranked eligible drivers sequentially
- Step 3 Switch assignment mode to Ride Broadcasting so all drivers can accept
- Step 4 Alert the dispatcher with full context for manual intervention

Auto Dispatch Works Best with These
Auto Dispatch is the assignment engine. These features define the rules it runs on, the trips it handles, and the data it learns from. —
Ride Broadcasting
When auto dispatch can't find an accepting driver, it automatically falls back to ride broadcasting — sending the trip to all eligible drivers simultaneously so someone always takes it.
Explore Ride BroadcastingZone Management
Every dispatch configuration radius, timeout, assignment method, vehicle tags, driver score threshold is set per zone. Zone Management is where you control how auto dispatch behaves in each area.
Explore Zone ManagementFare Management
Auto dispatch triggers dynamic fare calculation at the moment of assignment. Zone-based rates, surge multipliers, and minimum fares are applied automatically — no manual input needed.
Explore Fare ManagementBooking Types
Auto dispatch handles all booking types — instant, scheduled, corporate, and outstation. For scheduled rides, dispatch fires automatically at the pre-configured lead time before pickup.
Explore Booking TypesDriver Incentive System
Drivers with higher acceptance rates and ratings get priority in auto dispatch. The incentive system rewards that behaviour creating a positive loop between dispatch quality and driver performance.
Explore IncentivesPayment & Wallet Management
Once a trip is auto-assigned, payment processing begins automatically based on zone-level payment mode and type settings. No manual checkout steps for driver or passenger. —

Automated dispatching uses a rules engine to assign every ride request to a driver without manual intervention. The system filters eligible drivers by proximity, availability, vehicle type, and performance score then assigns the best match in under a second. It replaces the dispatcher's routine decision-making while keeping them available for exceptions. —
Auto dispatch silently assigns the ride to one specific driver — the passenger never sees it happen. Ride broadcasting sends the request to multiple drivers simultaneously and lets the first to accept win. Yelowsoft supports both, and you can configure auto dispatch to fall back to broadcasting if no driver accepts within the timeout window. See Auto Dispatch Engine for full detail.
Yes this is one of Yelowsofts most powerful capabilities. Every dispatch parameter is configured independently per zone. Your airport zone can require a 4.5 rating and a 5 km tight radius; your city centre zone can run open, fast, and score-agnostic. All configured through Zone Management.
The system runs a four-step fallback cascade: (1) expand the search radius, (2) try the next eligible drivers sequentially, (3) switch to ride broadcasting so all drivers can accept, then (4) alert a dispatcher with full context if all automated options fail. No booking is ever silently dropped. —
Yes. For scheduled rides, the dispatch engine fires automatically at a configurable lead time before the pickup — ensuring the driver is assigned and confirmed well in advance. For corporate bookings, specific vehicle tags, driver score thresholds, and payment types can be enforced automatically at dispatch time. See Booking Types for full detail.
Absolutely. Yelowsoft operates on an automate first, override when needed model. Dispatchers have full access to reassign, cancel, or escalate any trip at any point — even one that''s already been auto-assigned. In the Auto + Override mode, the system handles 90% of trips automatically while keeping dispatchers in control of exceptions.
Each vehicle in your fleet is tagged with its type (sedan, SUV, MPV, business class, EV, etc.). When a booking comes in with a vehicle requirement, the dispatch engine only considers drivers whose vehicle carries the matching tag. Non-matching vehicles are excluded before any proximity or score logic runs — ensuring passengers always get the vehicle type they booked.
Very little. For dispatchers, most of the routine work disappears — they only see trips that need attention. Configuration is done once through a guided admin panel. The initial setup typically takes under an hour for a standard fleet, and Yelowsoft''s onboarding team walks you through zone-level configuration as part of the setup process.
